Video Conferencing Dos and Don'ts

  1. Decide who will initiate a call before the meeting.
  2. Close the curtains or blinds for better quality pictures and audio. Make sure the door is closed too.
  3. Make sure the microphone is on the table.
  4. Say when you are muting the microphone – the other site may think you have a problem.
  5. Introduce all the participants.
  6. Do not whisper to the person next to you - everyone will hear you !!
  7. Remember that during connection you may be transmitting your picture and audio before you receive any.
  8. Do not tap microphones, move them around or bang/tap on the table. Be careful not to cover microphones with papers.
  9. Avoid ‘Busy’ Clothing
  10. Organise teas/coffees for both ends simultaneously
  11. For security reasons, send a blank ‘still’ after sending sensitive material via the document camera
  12. Introduce or announce when someone enters or leaves the room
  13. In a large meeting, always nominate a chair person. It is harder to interrupt in a video call and remote sites need to have the opportunity to enter discussions.
  14. Smile when you disconnect your call.
